TERMS & CONDITIONS

By attending sessions with us you are accepting our Terms and Conditions.

Isolation: - If your child has to isolate from school, they are unable to attend any of our classes until their quarantine is over. We cannot replace or refund classes if a child has to isolate. We follow the school's policies regarding Childcare arrangements:

Full fees are payable throughout the school terms. This includes contracted sessions when your child does not attend due to illness, school trips (including residential), family holidays or any other reason. In the event of unavoidable closure childcare/after school clubs will also be closed. These are very rare occurrences and by nature, impossible to predict. We are not able to refund/replace any missed sessions.

Coronavirus (COVID-19) Guidelines

In sending your child to classes/clubs you agree to follow the guidelines, If your child has attended a class and subsequently shown symptoms, been tested and is positive, please advise us by email to admin@animateddance.co.uk/admin@highflyersacademy.co.uk/admin@the-a-academy.co.uk immediately.

Risk assessment

We have updated our risk assessments, to include COVID-19 precautions for every venue in which we hold sessions.

Safety

Safety is of the upmost importance to us; we want to reassure you that we are doing everything we can to keep children and adults safe during classes. All members of staff have undertaken infection control courses and additional training. They have been consulted and informed about the plans e.g. safety measures, reporting requirements.

To keep everyone safe, and minimise the number of people in the sessions, we have implemented the following rules:

Students

We will be social distancing in sessions and following government guidelines

  • We have a drop off/collection only policy for all students.
  • Sanitiser will be available in each venue. You are welcome to provide your own sanitiser.
  • While maintaining a safe distance from other students, children will walk to their designated areas where their instructor will assign them a space for their sessions.
  • Class numbers adhere and follow Government guidelines.

Staff

  • All staff will be asked not to come to class if they are unwell.
  • All staff will wash hands upon arrival and between classes.
  • Staff will clean shared equipment.

Entering and exiting the building

·    Parents will NOT be allowed into the building unless essential to minimise traffic and the potential spread of the virus.

·    Parents of children are to walk their child to the entrance to be handed over to a member of staff. The same goes for collection.

·    Please be punctual in dropping off/collecting your child at the correct time as we need to avoid as much traffic as possible.

·    Please do not crowd outside the entrance/exit. Students will need to enter and exit the building via different doors (Where possible venue dependant). There will be a one-way system inside the building. (where possible)

·    Children are not permitted to walk across the carpark line under the age of 18years and will be required to wait at the entrance until you come to collect from the entrance.

Section 2: Lockdowns & Online ZOOM Lessons

·      In the event of a Lockdown, or a venue becoming temporarily unavailable, all dance/gym sessions will switch to Zoom. For holiday clubs/camps refunds will be provided. If a member of staff contracts Coronavirus and has to self- isolate, we will try our best to keep sessions running with another member of staff or if this is not possible, sessions will continue and take place via Zoom at the normal class times until normal in person sessions can recommence after the isolation period or a negative COVID Test result.

·      To take part in these online lessons, you agree to the following:

·      Your child will not be left unsupervised at any point in the session.

·      You will clear a flat floor space for the student’s use. (ideally 2 metre squared) Where no furniture, slip and/or trip hazards can be found.

·      You ensure the student is wearing appropriate uniform or suitable exercise clothing and footwear for online classes. No socks for gymnastics/acro. No Jewellery. Hair Tied back.

·      You fully understand that as Animated & Highflyers are not providing these services in person, we are unable to provide any first aid or safeguarding services.

·      You understand that Animated & Highflyers & HFA are in no way affiliated with the video conferencing       software, and are not responsible for any changes, data loss or software/hardware malfunction because of using the equipment. You also agree to their separate terms of use.

·      You will not hold Animated/HighFlyers/HFA responsible for any injury sustained as part of these sessions and will watch your child for signs of sickness, tiredness, injury or illness or other incapacitations which may prevent them from taking part.

·      All exercise dance or gym or acro should be performed within the remit of the participants own limits and should not be performed if there is any existing injury or for older participants pregnancy.

·      Please ensure animals are removed from the room if they are likely to cause harm or be a trip hazard.

·      Parents are responsible for the risk assessment of the space where their child’s home learning will take place, parents are required to perform a visual health & safety/risk assessment of the room prior to the session starting, removing any potential risks.

·      Not all music can be played due to PPL and PRS laws.

·      No photography or videoing of the class or the member of staff is permitted by any student or parent due to safeguarding.

·      All Participants take part at their own risk. Animated/Highflyers/HFA are not responsible for any injury or accident or any losses however so incurred by participating with the activities in our home learning program.

·      Participants will need to enter the virtual classroom 10 mins prior to the class starting and wait to be accepted, if you are late you may not be accepted as the member of staff will be teaching.

·      For live online classes, the room will be locked after registration for safeguarding purposes, no admittance is possible once the room is locked.

 Section 3: GENERAL TERMS & CONDITIONS

These terms and conditions apply to all Highflyers Gymnastic/Animated Dance/HFA/Holiday Clubs and Camp sessions/, applied for, and consented to by the parent or guardian (on behalf of their child/ren referred to hereinafter as the “student”)

Fees, deposits, refunds, joining fees

If gym/dance sessions are temporarily cancelled for any reason, we will offer a replacement class instead online using Zoom, no refunds will be given. If lockdown is reintroduced, sessions will revert to Zoom immediately. The timetable may adjust slightly to combine some of the separated groups but will roughly be the same. No refunds will be given as we still have members of staff wages and business costs to cover.

1.     Force Majeure Clause: In the event of an unavoidable closure at High Flyers/Animated/HFA beyond our control, (Snow, Flood, Acts of God, Pandemic, Venue Closure) on these rare occasions, and by nature impossible to predict, obviously it will not be possible to refund fees on these occasions as we have on going staff and business costs to cover.  

2.     Under COVID we are operating on very limited spaces in line with Govt requirements, you are paying for a space in our club not weekly sessions, we do not offer Ad-hoc bookings as spaces are now very limited. 

3.     All students attending Highflyers Gymnastics/Animated Dance/HFA /Holiday Clubs/Camps Classes/Camps are required to be registered using our booking system in advance of attendance.

4.     We reserve the right to prioritise spaces for future bookings to those who currently have spaces to ensure they keep their place. Additional spaces will be allocated at our discretion

5.     Fees are payable per session/half or termly in advance of the first class of the term. If a student arrives for a class without having been registered and paid for, they will not be permitted to participate. 

6.     Fees are provided and can be found on the booking system, which are based on a term which ranges between 6-15 weeks. These can be found on the booking system.

7.     Fees are subject to change at the discretion of Highflyers/Animated Gymnastics/Dance. 

8.     Methods of Payment – Online payments via the booking system, this can be by card/vouchers. Other payments for merchandise/costume purchases/rehearsals to be paid by cash only.

9.     Student Sickness/absence as stated in our previous policy, refunds are not provided for students’ isolation, sickness, injury, school trips, holidays etc, this includes Coronavirus.

10.  Should any student wish to discontinue and give up their space in any class or leave the school, no refunds will be given.  Should a student choose to leave, having paid for exams, shows, medals, badges, uniform, costumes, competition entry no refunds will be given.

11.  Refunds will not be given for non-attendance- including pandemics, other than a medical reason upon the presentation of a Doctor’s letter. This includes sickness, isolation, injury, school trips, holidays etc.

12.  All competitions, exams, shows, internal and external events are subject to change, date, or time. Any fees paid will be rolled over to the next event, exam, show etc. No refunds will be given.

13.  Fees are including VAT where applicable.

Classes, Register, attendance, and absence

1.     Highflyers Gymnastics Animated Dance/HFA/Holiday Clubs/Camps reserves the right to make changes to class timetables/teaching staff where necessary

2.     A register for each class is maintained by the member of staff and records student attendance over the term. Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps Members of staff will have access to student contact details and relevant medical information for the purposes of health and safety and security. 

3.     In the case of an emergency, fire or a first aid incident all members of staff have a clear understanding of their responsibility.

4.     If a student is absent from a session the Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps member of staff will contact the parent/guardian as set out in Child Protection Policy. 

5.     It is the parent's responsibility to notify Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps of any changes to their emergency contact details by amending their booking details on our booking site.

6.     All Parents/Guardians must make arrangement to collect their child if they are under 16 years old. If someone else is collecting a student on behalf of the parent, then Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps needs to be informed in advance. Young children will not be allowed to walk out into the car park by themselves. It is not the responsibility of the Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps member of staff to walk the student out to the car parks.  Written permission is required should the student be allowed to leave unsupervised.

7.     Uncollected / Late collection of students: A charge of £5 will be levied per 15mins whilst a student is left on the site in the care of the member of staff. If the school has an after-school club on site, and with agreement from the school, uncollected and late students will be taken to the after-school club.  Frequent late collection of students may result in Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps terminating a student’s attendance. No refund will be given.

Communications-Gym & Dance Sessions

1.     BAND app is the communication method we use for reminders, calendars, general queries. Please download band app and ensure you switch on notifications, it is your responsibility to check the app, we will place information in there as necessary including Zoom codes, urgent updates, class cancellations and so forth.

2.     https://band.us/en If you have not received your invite please let us know.

3.     Please let us know via BAND app if your child can not attend or if someone else is collecting your child.

4.     All the dates/times that you have booked for your child’s class can be found on your booking receipt. Please do retain a copy so you can check the dates.

5.     It is parents/guardian’s responsibility to check the dates and times as we hire halls meaning there are some dates sessions cannot run. Reminders are not sent.

6.     All our teachers will be more than happy to discuss your child’s progress, please bear in mind teachers work back to back sessions and that all sessions need to start on time. If you wish to have an in-depth conversation, please send a Message in the BAND app.

7.     Teachers will respond during their working times. Please allow time for a response as currently under COVID we are operating a very part time working schedule.

8.     You should allow approx. 48-72 hours for member of staff to reply as they may well be teaching and or not working that day with us.

9.     For all payment/booking/complaint please contact us on Gym – admin@highflyersacademy.co.uk Dance admin@animateddance.co.uk, Holiday Clubs/Camps admin@the-a-academy.co.uk the member of staff will not be able to answer queries about payments. Please allow 48 hours for your reply.

10.  IMPORTANT Any question related to Information that has been sent to you via e mail or the booking site or band app or Facebook, or that can be found in these T&CS will go unanswered as the information has already been sent- and sadly we do not have the resources at this time to respond to each person individually,

Dignity in the Workplace

1.      Our staff have the right to work in a safe environment and are here to help to keep you and your students safe.

2.      We will not tolerate violence, physical aggression, or verbal abuse towards any of our staff, either in person or online.

3.      We reserve the right to take further action, including asking you and your student to leave the club for anyone acting inappropriately. No refund will be given.

4.      Should you wish to speak to a teacher, if they are busy dealing with other parents, please email or privately band APP chat the teacher to arrange an appointment to discuss your matter, it is not appropriate to discuss, raise your voice over the teacher or other parents and students. We kindly always ask you to respect teachers and other club members.

Photography/ Videos/Social Media

I understand and will have the option when booking to give consent to the use of photographs and video recordings from time to time be included on the Highflyers Gymnastics/Animated Dance/HFA/Holiday Clubs/Camps website, social medial or for website/internet for press and promotional development of the school.

 

 

Behaviour

Students are expected to act in a well-behaved manner. If a student is disruptive on a regular basis the teacher will complete a behaviour tracking chart each week to monitor behaviour over a half term period. You will be informed of this, if the student is asked to leave no refund shall be given.

Uniform.

Jewellery/Watches are not to be worn in any sessions as per our Health and Safety Policy. Students should wear their uniform or plain black, shorts, leggings, T shirts, Vest top, leotards, crop Tops, No Hoodies, Hair to be tied back.

Only capped water bottles are acceptable to bring into the studio.
